Make the next step clear for patients.

Help patients find practice information and the right appointment route. Clinical advice, treatment suitability and care stay with your qualified team.

The starting point

An appointment enquiry is not a clinical assessment.

A patient may want to ask about joining the practice, rearrange an appointment or find approved treatment information. Each needs a clear route, and none should depend on guessing which inbox someone checks.

We start with the practice's existing patient-management and booking systems. The website should explain the next step accurately and avoid collecting clinical details through an ordinary public enquiry form.

What we can work on

Practical workflows we can scope.

Choose the part of your process that needs attention. These are possible approaches, not a fixed bundle.

Approved practice information

Present the opening hours, contact routes, accessibility information and service descriptions approved by the practice. Review content ownership so changes have someone responsible for them.

Appointment enquiry routing

Direct new-patient, routine and rearrangement requests to the appropriate administrative route. State clearly whether the patient is requesting an appointment or completing a confirmed booking.

Reminder process review

Check the reminders already available in your practice system. Where a gap exists, define the source of appointment status, stopping rules and the person handling failed messages.

Administrative follow-up

Track enquiries waiting for a callback or further non-clinical information. Keep each request assigned to a team member, with exceptions visible rather than assumed complete.

A useful first conversation

What to bring to the first conversation

  • Your approved public service information and contact routes.
  • The patient-management and booking providers, with relevant account features.
  • An anonymised example of an administrative enquiry and its handover.

You stay in control

The decisions you keep

  • No diagnosis, clinical triage, personalised treatment advice or interpretation of records is included.
  • Patients should not send medical histories, images or other clinical records through a general website form or chatbot.
  • The practice approves urgent-contact wording, clinical content and access to patient systems.

A supported booking link or improved information page may solve the problem without connecting to patient records. Any proposed deeper integration requires a separate review of provider support, permissions and data handling.

Scope and support

Agree the work before it starts.

I confirm the scope, price, supplier charges and timeline in writing before you commit.

How projects are scoped

The monthly service has a six-month minimum, then 30 days’ notice. The agreement sets out the licence, support and ongoing responsibilities.

The fictional demonstration shows a design approach. It is separate from completed client work and does not show measured client results.

Before you enquire

Questions worth asking.

Can a chatbot answer treatment questions?

An assistant can point to approved general information or help someone contact the practice. Personal clinical questions must go to qualified staff.

Will this replace our practice software?

That is not assumed. We start with the patient journey and the capabilities of the software you already have, then scope only the missing administrative work.

An anonymised walkthrough of how a new-patient enquiry is handled is enough to start. Please do not send patient records with an initial enquiry.
